Intelligent One AI ("Intelligent One," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy describes how we collect, use, and safeguard information when you use our products and services, including our browser extension, our clinical software, our application programming interfaces, and our website at intelligentone.ai.

1. Information We Collect

Account Information

When your practice enrolls with Intelligent One, we collect business contact information including name, email address, practice name, and role. We do not collect personal information from patients directly.

Clinical Data

Our products interact with electronic medical record systems to provide clinical documentation and decision support. Clinical data is processed in real time and is not stored beyond the active session unless explicitly configured by the practice. All clinical data handling complies with HIPAA requirements.

Extension Usage Data

Our browser extension collects the minimum usage data necessary for functionality, including which templates are selected. The extension does not track browsing history, collect keystrokes outside of the extension interface, or access data from websites other than the clinical system it is used with.

Technical Data

We may collect browser type, product version, and error logs to diagnose issues and improve performance. This data does not contain clinical or patient information.

2. How We Use Your Information

4. HIPAA Compliance

Intelligent One operates as a Business Associate under HIPAA. We enter into Business Associate Agreements (BAAs) with healthcare practices that use our products. We do not use Protected Health Information (PHI) for marketing, advertising, or any purpose unrelated to the services we provide. PHI is never sold to third parties.

5. Third-Party Services

We rely on the following categories of third-party service to deliver our products:

›Cloud infrastructure — hosting, compute, database, and storage
›AI model inference — language model processing, under terms where your data is not used to train models
›Electronic signature — signing of documents on behalf of the practice

All third-party providers are bound by their own privacy policies and, where applicable, BAAs with Intelligent One. We will identify our processors on request to any customer or prospective customer conducting a security review.

6. Data Retention

Clinical data processed in real time is not retained beyond the active session unless the practice configures persistent storage. Account and practice information is retained for the duration of the service agreement. Upon termination, all data is deleted within 30 days unless retention is required by law.

7. Your Rights

You have the right to:

›Access the personal information we hold about you
›Request correction of inaccurate information
›Request deletion of your information, subject to legal retention requirements
›Opt out of non-essential data collection

8. Browser Extension Permissions

Our browser extension requests only the permissions necessary for its functionality:

›Active Tab: To interact with the clinical system page when you activate the extension
›Storage: To save your preferences and template selections locally
›Network: To communicate with Intelligent One servers to generate content

The extension does not access browsing history, read data from websites other than the clinical system it is used with, or run in the background when not actively in use.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on this page with a revised "Last updated" date. Your continued use of our products after changes are posted constitutes acceptance of the updated policy.
